Job Title: Program Coordinator

Job Purpose:
To provide effective and efficient operational and administrative support for the Academic Department with an aim to a successful execution of the Academic Departments programs, research projects, initiatives, and other activities.
Key Responsibilities:
Functional:
Ensure the effective implementation of all relevant academic and administrative policies, and where required to coordinate the relevant procedures
Assists with budget preparation and monitors budget balances
Address and resolve course related queries from faculty, staff and current and prospective students
Coordinate and recommend course schedules and faculty assignments to the Distinguished Professor of the department in alignment with faculty specialty, availability and workload which are designed to meet student needs, and which result in maximum utilization of
existing resources. Also, resolves course conflicts with other departments.
Organize office schedules and the work of the administrative and office staff, ensuring that faculty office hours are posted.
Prepare reports, inventories, and surveys providing such information as requested by the Distinguished Professor of the department or other university officials.
Plan and coordinate appropriate and timely responses through the Distinguished Professor of the department for the preparation and publication of required accreditation and/or university data and reports.
Monitor and coordinate requests for texts, supplies, and other instructional resources, and prepare brochures and newsletters as requested/directed by the Distinguished Professor of the department in conjunction with the Marketing and Communication organizational unit.
Monitor and consolidate feedback regarding program quality and integrity and bring any issues regarding same to the attention of the Distinguished Professor of the department
Assists the Distinguished Professor of the department with the evaluation of faculty, monitors and mentor’s departmental adjunct faculty as appropriate
Coordinate the scheduling and implementation of examinations or assessments and ensures that all final grades are submitted to the Registration Section by the designated time.
Provide the necessary support to the department Distinguished Professor and faculty in partnership and collaboration initiatives as needed.
Schedules departmental meetings and provides current membership lists and minutes to the appropriate department Distinguished Professor.
Prepares, signs, and submits departmental purchases and travel requests with appropriate information and account numbers in alignment with the policies and procedures in place.
Ensure continuous improvement across all services of the department/Faculty.
Undertake any other related duties as assigned by line manager.
Operational:
Institutional Strategy
Implement the plans to ensure seamless operations that facilitate the achievement of the University strategic objectives.
Ensure the timely provision of data and reports to the management and recommend operational improvements to support in planning, decision making and continuous improvement.
Financial & Organizational Management
Coordinate the budget across the department to ensure complete adherence and highlight any deviation from the plan in a timely manner and take corrective action as necessary and in line with the approved governance process.
Stakeholder Management
Coordinate the collaboration with and engagement of relevant internal and external stakeholders to ensure effective achievement of programs and objectives in line with the Academic Department strategic objectives.

Outreach & Engagement Division
Faculty Affairs
Support Services (e.g. HR, Finance, IT, Etc)
Purpose
Coordinate with the Outreach & Engagement Division on the research aspect of the department
Ensure coordination with Faculty Affairs to support of the Academic Affairs & Research plan and support chairs of the academic department and faculty in all faculty matters.
Coordinate with the Support Services department regarding their requirements for fulfilling the academic departments needs and requests
External Stakeholders
Research Centers and Labs
Purpose
Ensure partnership and collaboration on matters of mutual interests/benefits.
Academic Qualifications:
Bachelor’s degree in Business Administration or equivalent. A master’s degree will be preferable.
Professional Qualifications:
4-6 years of experience.
